Municipal HallCouncil Meetings

Council Meetings are held in the Council Chambers at the Vanderhoof Municipal Office – 160 Connaught Street. Meetings begin at 5:30 PM. Regular Council Meetings are generally held on the second and fourth Mondays of each month and Committee of the Whole Meetings on the third Monday of each month (some exceptions apply – see the 2022 Council Meeting Monthly Calendar below).

The public is welcome to attend all open Council and Committee meetings.

Meeting Agendas & Minutes

An agenda is a list of discussion items, listed in the order in which they will be discussed, beginning with the call to order and ending with adjournment. Meeting agenda packages are prepared and posted online no later than the Thursday afternoon before Council and Committee of the Whole meetings. All members of the public can view all upcoming and previous council/committee meeting agendas on our Document Portal.

Hard copies of meeting agendas are also available at the Municipal Office the Thursday afternoon before a scheduled meeting.

Meeting minutes are the written record of the meeting. Minutes are used to keep track of  meeting decisions and inform residents about what happened at the meeting.  The minutes are prepared and available to view on the  Document Portal by the end of day Thursday following the meeting.  An archive of agendas and minutes may be found on Document Centre.

Council Meeting Recordings

All open Council meetings are recorded and uploaded for public viewing no later than 2 days after the meeting. Videos will be uploaded to our Youtube Channel and will be available with links to the corresponding agenda and minutes on our Council Meeting Videos webpage.

Presenting/Requests to Mayor & Council

From time to time,  residents may wish to present to or make requests of the District of Vanderhoof Mayor & Council.

General Request of Council

General requests for inclusion on Council meeting agendas is an alternative to speaking at a Council meeting.  General requests of Council must be made by submitting the General Request Form. Requests must be received by 12:00 PM on the Wednesday BEFORE the Regular Council meeting you would like it to be presented. The best way to ensure your request is submitted on time is through email to the Corporate Officer.  Failure to meet this submission deadline may result in the request being scheduled for the next Regular Council Meeting.

Requests become public documents and are published on Document Centre.  Personal information (e.g. email address, phone number) will be redacted.

General Request form

Delegations

A delegation is a presentation by a person or persons on behalf of an organization or association wishing to appear before Mayor and Council. Members of the public can present to Council at Regular Council Meetings, pending approval by the Corporate Officer.

All requests to the Corporate Officer must be made in writing using the Delegation Request Form. Please download the form before filling it out. After completing the form, please email it to the Corporate Officer. You will be contacted by Staff to confirm your presentation date and time.

Resolution or Letter of Support Request

Resolutions or Letters of Support are commonly required for grant applications. Individuals, non-profits, or organizations may request these from the District’s Mayor and Council through our Resolution of Support or Letter of Support Request Form.

When a request is received, it will be added to the upcoming Regular Council Meeting agenda. Requests must be received by 12:00 PM on the Wednesday BEFORE the Regular Council meeting you would like it to be presented. Speaking at meetings
You may attend a Regular Council Meeting and speak during the Public Comment section of the meeting, item 6. Please raise your hand when the Mayor asks if anyone would like to speak.  You will then have 3 minutes to do so.  This is generally the only opportunity during the meeting for public comments or questions.


Public Hearings

Public Hearings are a formal process held by Council to receive public input on Zoning or Official Community Plan bylaw amendments. In accordance with the Local Government Act, any person who believes that their interest in property is affected by the proposed bylaw is given an opportunity to speak. Public Hearings are advertised in the Omineca Express, posted on the District website and social media accounts, and at the Municipal Office.
